E-Track Training for Public Caregivers & Public/Private Adoptive Parents

This page is designed to teach publicly licensed caregivers and public or private agency adoptive parents how to access and use E-Track to manage their OCWTP training.

If you are listed as the supervisor of caregivers in E-Track, you will want to refer to the County Staff E-Track Instructions to learn to work with your own training record and the records of the caregivers you supervise in E-Track.


Learn to Work with Your Caregiver or Adoptive Parent Record!

The Ohio Child Welfare Training Program (OCWTP) is pleased to provide you a portal to your own
individual OCWTP training experience. With E-Track, you'll be able to log into your training record from
anywhere with Internet access and:
  • View your To Do List of scheduled training and other items to complete
  • Search for and enroll in available learning interventions
  • View your learning history and print or download your transcript
  • Complete online evaluation surveys and receive digital training certificates
And more functionality is on its way! Soon you'll be using E-Track to:
  • Launch distance learning
  • Access message boards and chatrooms tied to classroom sessions

Create E-Track Browser Favorites (aka Shortcuts/Bookmarks)

To access and use E-Track you'll first want to create a folder of favorites (aka shortcuts/bookmarks) in your Internet browser. This way you don't have to type in the E-Track-related addresses every time you want to use them. This module provides you the E-Track-related web addresses and walks you through creating browser favorites.

Use Browser Tabs

If you are not already familiar with opening multiple website tabs in a single browser window, this module shows you how to do this. We recommend using browser tabs to complete your E-Track training, as it allows you to have one tab open to this training page, and a separate tab open to the E-Track environment.

Log In

This module contains a desk reference that explains how to determine your E-Track login ID (username) and password.

In case you have trouble opening the desk reference, your E-Track login ID is comprised of: 2-digit birth month plus 2-digit birth day plus first initial of legal first name, plus first five letters of legal last name (substitute zeros if less than five), plus the number one. Your password will either be the same as your login ID or your legal last name. You will have the option to change your password once you enter E-Track (See Section 5 below).

This module explains how to access and understand your personal learning to-do list in E-Track, and provides detailed information on completing required session evaluation surveys tied to your to-do list.

E-Track Notifications

You will be notified by email when an evaluation survey has been added to your E-Track To-Do list. You will receive up to two reminder emails if you have not yet completed your survey. These emailed notifications will contain a link to log into E-Track and proceed directly to your evaluation survey. Please note, you will need to complete ALL questions and select "Finish Survey" from the left-side menu before the survey is considered complete.

It is also important to note that you will receive other notifications from E-Track tied to enrollments, withdrawals, session changes, cancellations, and successful completion of training. These notifications are frequently "bundled" by E-Track, meaning you may receive one email message containing several individual notification messages. Please be sure to scroll to the bottom of each E-Track notification to read all notifications addressed in the email.

 

E-Track Certificates (Updated 1/16/15)

Provided you did not miss more than 15 minutes of your session, you will receive an emailed notification within 10 days of the end of your session containing a link to your online training certificate. If you need to receive an individual certificate immediately for reimbursement or licensure purposes, you also have the ability to print your certificate directly from your training history in E-Track. The desk reference below explains how to access and print your certificate from the email link or from within E-Track:

Edit Profile Section 5: Your Personal Profile

It is critical that we have your current email address and other contact information in E-Track! This module walks you through accessing and updating your personal profile information (contact and demographic info) and changing your E-Track password.

Problems Logging into E-Track

Be sure you have carefully followed the "Log In" training piece included in Section 1 above. If you are still unable to log into E-Track, email your full legal name, two-digit birth month, two-digit birth day, and your county agency to e-track@ihs-trainet.com.

If your Regional Training Center is unable to assist you, they will refer you to one of the E-Track Coordinators at the Institute for Human Services (IHS) for further assistance.

 

System Errors

If your screen locks up (freezes), or you receive a system error, your first step should always be to simply close entirely out of your Internet browser and then re-open your browser and try logging in again. In the majority of cases, this will solve the problem. If that does not work, try rebooting your computer and then re-entering E-Track. If neither of these actions solve the problem, complete the form below and you will receive a response within the day:
